Receive Supplier Submissions

This how-to guide explains how to track and manage supplier submissions during the Online Submissions stage.
Suppliers upload their required documents in the supplier portal, can edit and re-upload until the submission deadline (if the stage remains unlocked), and finalize their bid by clicking Complete Response.
Once the submission end date has passed, no further responses can be received and the evaluation process may begin.

When to Track Supplier Submissions​

You should monitor supplier submissions when you need to:

  • Confirm which suppliers have started, completed, or declined to participate.
  • Track submission progress against required documents.
  • Verify when submissions were last updated.
  • Transition the project from submissions to evaluations once the deadline has passed.

To Monitor Supplier Submissions​

  1. Go to the project’s Online Submissions stage.
  2. Select the Received Submissions tab.
  3. Review the list of invited suppliers. Each supplier appears by name with their submission status and progress indicators.
  4. Check the Percent Complete column:
    • 0% indicates no required items have been submitted.
    • Percentages less than 100% indicate incomplete submissions.
    • If optional (non-required) items are skipped, the percentage may remain below 100%.
  5. Check the Last Updated column to see the most recent supplier activity.
Submission Statuses

Each submission may display one of the following statuses:

  • Pending: Supplier has not finalized their submission.
  • Not Started: Supplier has not begun the submission process.
  • In Progress: Supplier has started but not finished their submission.
  • Complete: Supplier has finalized their submission.
  • Declined to Participate: Supplier declined the invitation to submit (only for invited suppliers, not public solicitations).

To Complete the Online Submissions Stage​

  1. Wait until the submission end date has passed.
  2. In the Received Submissions section, click Complete and Start Evaluations.

This action locks submissions and advances the project to the evaluation workflow stage.
