Add Placeholders to Approval Steps

This guide explains how to assign placeholders to each step in a Multi-Step Approval Routing workflow. Placeholders define which collaborators are expected to review and approve the content at each stage of the process.

When to Add Placeholders to Approval Steps

You should add placeholders when:

  • You’ve defined the approval steps but haven’t specified who is responsible for each.
  • You want to assign approvers dynamically, based on the project’s setup.
  • The same approval step could be handled by different users in different projects.

To Add Placeholders to Approval Steps

After you add approval steps to the workflow, you can assign placeholders to define who will review or approve content at each step.

  1. Click the white + Add Placeholder button.

  2. In the Placeholder Title field, enter the role of the person who will participate in the approval step.
    Note
    Use this to label the name of the role of the individual that needs to be added to the approval step, for example: Business Analyst, Contract Buyers, Manager, Director, Etc.
  3. Add a Short Instruction to clarify what the assigned person is expected to do.
  4. (Optional): Check Use requestor supervisor to link placeholder? if you want the placeholder to automatically assign the requestor's supervisor or direct report.
  5. Click the blue Add Placeholder button.
