Modify Ownership Blocks: Update Assignments and Adjust Scope
This how-to guide explains how to manage existing Ownership Blocks in project templates or active projects. YYou can update assignments or adjust the scope of content to reflect changes in responsibility, team structure, or workflow needs.
When to Modify an Ownership Block​
You should Modify Ownership Blocks when you need to:
- Reassign a section to a different user or role.
- Add or remove content included in a block.
- Reflect organizational changes in responsibility.
- Refine access or editing permissions for a document section.
To Update Ownership Assignments​
- Open the relevant Project Template or Live Project.
- Go to the Workflow tab and locate the Ownership Block you want to update.
- Click the X next to the current owner’s name.
- Click Confirm to remove the owner.
- Click Assign Owner and select a new user.
Note
You don’t need to remove the existing owner if you want to add another one. Ownership Blocks support multiple assigned users. Simply click Assign Owner again to add additional collaborators.
To Adjust the Content Scope of a Block​
You can update which stages or content sections are governed by an Ownership Block.
- Go to the Workflow tab of the Project Template or Live Project.
- To add stages or sections, follow the same steps described in Configure the Scope of an Ownership Block.
- To remove a stage, click the kebab menu â‹® next to the stage, select Remove, and then confirm the action.
- To remove specific fields or content, open each stage and manually delete the section or fields as needed.
Best Practices​
To ensure Ownership Blocks remain useful and well-organized:
- Use Ownership Blocks where responsibilities change. Apply them at logical handoff points across teams or departments.
- Avoid overusing small blocks. Instead, group related tasks or sections under the same block for clarity.
- Keep user assignments current. Update assignments when responsibilities shift to prevent confusion during collaboration.
