Manage Project Roles and Permissions

This guide explains the different project roles in Authorium and their default permissions.
Managing project roles ensures that team members have the appropriate access to project resources, documents, and tasks, helping maintain security, streamline collaboration, and control workflow within your projects.

This guide is intended for Account Owners, Admins, and Project Managers who need to configure and manage project roles. You will learn how to:

  • Identify and understand the available project roles.
  • View default permissions for each role.
  • Understand role assignment rules before making changes.

When to Manage Project Roles​

You should manage project roles when:

  • You need to adjust user permissions for a specific project.
  • You are assigning team members to a new project.
  • You want to control access to project resources and documents.

Project Roles​

Project roles determine what users can do within a specific project:
Project Owner: Has full control over the project and its settings. Project Manager: Manages project tasks, documents, and members. Editor: Can edit project documents and content. Contributor: Can contribute to project tasks and documents. External Guest: Has limited access to project resources. Reviewer: Can review project documents and provide feedback. Viewer: Can view project information and documents. Projects with Stages can have multiple project owners. This is confirmed and is correct for our use case (we do not want to change this.)

Role Assignment Rules
  • A project can have only one Project Owner.
  • Custom project roles have view-only permissions enabled by default until updated manually.
  • Users in a global project role will have the same role in all modules (stages) within that project.
  • Users assigned to a module-only role can only see basic project information and module content.
  • A user cannot be assigned different roles in the global project and module at the same time.
